DVOD Order Manager Privacy Policy

DVOD Hardware Inc. (“DVOD,” “we,” “us,” or “our”) operates DVOD Order Manager (“the Application”), a private internal application used for retailer order processing, shipping, and QuickBooks Online invoicing.

This Privacy Policy explains what information the Application accesses, why it is used, how it is protected, and how it may be deleted.

1. Scope

The Application is intended for DVOD Hardware Inc.’s internal use. It is not offered as a public consumer application.

This policy applies to information processed by DVOD Order Manager. Separate privacy terms may apply to QuickBooks Online, Intuit, Purolator, Rithum, retailers, and other third-party services.

2. Information Processed

Depending on the transaction and connected services, the Application may process:

Retailer and order information

  • Retailer name;

  • Purchase-order and sales-order numbers;

  • Order dates;

  • Product descriptions and SKU numbers;

  • Quantities and retailer purchase prices;

  • Fulfilment instructions; and

  • Packing slips and related order documents.

Recipient and shipping information

  • Recipient name;

  • Delivery address;

  • Telephone number;

  • Shipping service;

  • Purolator waybill or tracking number; and

  • Shipment date and status.

QuickBooks Online information

With the user’s authorization, the Application may access information needed to create, verify, and record invoices, including:

  • QuickBooks company identifier;

  • Customers;

  • Products and services;

  • Tax codes and tax rates;

  • Invoice numbers;

  • Invoice dates;

  • Invoice lines;

  • Net amounts;

  • Tax amounts;

  • Invoice totals; and

  • Internal invoice notes.

Technical authorization information

The Application may process:

  • QuickBooks OAuth access and refresh tokens;

  • QuickBooks company realm identifier;

  • Purolator API credentials and authorized billing-account information; and

  • Local application settings.

The Application does not request or store the user’s Intuit account password.

3. How Information Is Used

Information is used only to support DVOD Hardware Inc.’s legitimate internal business operations, including:

  • Preparing and reviewing shipments;

  • Creating Purolator waybills;

  • Recording shipment and tracking information;

  • Matching shipments to retailer purchase orders;

  • Creating and verifying QuickBooks Online invoices;

  • Calculating or verifying applicable taxes;

  • Producing internal shipment and invoice spreadsheets;

  • Preventing duplicate shipments or invoices;

  • Troubleshooting errors; and

  • Maintaining accounting and transaction audit records.

QuickBooks Online information is not used for advertising, profiling, or sale.

4. Information Sharing

The Application does not sell personal information or QuickBooks Online information.

Information is transmitted only when necessary to provide the Application’s functions. This may include transmission to:

  • Intuit and QuickBooks Online for authorized accounting operations;

  • Purolator for shipment creation and document retrieval;

  • Rithum or the applicable retailer when shipment or invoice information is entered by an authorized user; and

  • Service providers used to host secure authorization or support pages, where applicable.

QuickBooks Online data is not provided to unrelated third parties.

5. Storage and Security

The Application is designed primarily as a private desktop workflow.

Reasonable safeguards are used to protect information, including:

  • Using official encrypted HTTPS connections to third-party APIs;

  • Storing sensitive credentials and tokens in protected credential storage, such as macOS Keychain;

  • Restricting the Application to authorized DVOD personnel;

  • Avoiding storage of Intuit passwords;

  • Avoiding disclosure of credentials in ordinary reports and spreadsheets; and

  • Retaining shipment and invoice records only for operational, accounting, legal, and audit purposes.

No method of electronic storage or transmission can be guaranteed to be completely secure.

6. Data Retention

Purchase orders, shipping documents, shipment records, invoices, and accounting information may be retained for as long as reasonably necessary for:

  • Order fulfilment;

  • Retailer reconciliation;

  • Accounting and bookkeeping;

  • Tax compliance;

  • Warranty or customer-service records;

  • Fraud prevention;

  • Legal obligations; and

  • Business audits.

OAuth access tokens are retained only while the QuickBooks connection remains authorized and useful. Tokens are refreshed or replaced through Intuit’s authorization process.

Information that is no longer required will be securely deleted or rendered inaccessible, subject to applicable accounting, tax, legal, backup, and recordkeeping obligations.

7. Disconnection and Deletion

An authorized user may disconnect DVOD Order Manager from QuickBooks Online through the Application, through Intuit’s account-management tools, or by contacting DVOD Hardware Inc.

After disconnection:

  • The Application will stop accessing QuickBooks Online through the revoked authorization;

  • Stored QuickBooks authorization tokens will be deleted or invalidated;

  • Future QuickBooks API requests will stop; and

  • Existing invoices and accounting entries already created in QuickBooks Online will remain in the QuickBooks company unless separately changed or deleted there by an authorized user.

Requests to access or delete information held locally by the Application may be submitted using the contact information below. DVOD will respond subject to applicable Canadian privacy, accounting, tax, and recordkeeping requirements.

8. Canadian Privacy Rights

Where applicable, individuals may request information about DVOD’s handling of their personal information and may request access, correction, or deletion.

Some information may need to be retained where required or permitted by law, including transaction, tax, accounting, warranty, fraud-prevention, and legal records.

9. Children’s Information

The Application is a business order-processing tool and is not directed to children. DVOD does not knowingly use it to collect information from children.

10. Changes to This Policy

This Privacy Policy may be updated when the Application, connected services, or legal requirements change.

The current version will be published at the same public webpage, with its effective date shown above.
